Mountain View Hospital is looking for a Administrative Assistant
to join our team!JOB SUMMARY:Will audit time cards and the day to
day activity in PAYCOM, as well as assist with When I Work schedule
entry, and daily sheet production. Will work in coordination with
manager, clinical team lead, and unit scheduler.BENEFITS:Taking

part-time or PRN status classification.SPECIFIC DUTIES AND
RESPONSIBILITIES:Oversee the daily staff recording in PAYCOM,
maximizing labor costs and minimize mistakes. Communicate with unit
manager on late clock in, repetitive sick calls, or late stays by
being fiscally accountable to the Unit and MVH.Audit patient
accounts to ensure appropriate patient charges to ensure charge
capture.Create and maintain floor inventory stock for patient care
use, while maximizing cost vs. revenue ratios for supplies. Create
and maintain tools necessary for staff compliance with scanning.
Educate staff with the use to the virtual inventory system.
Coordinate delivery and supply with warehouse. Problems solve
supply issues with the Purchasing department. Perform weekly counts
with Purchasing and the assistance of an appointed helper.Maintain
inventory for special orders for the unit and anything the manager
directs to be ordered.Additional duties assigned by manager such as
daily collection tool management, daily acuities, scan schedule
procedures and dailies. Additional duties assigned by the manager
to assist in the productivity and success of the unit.Also:Organize
and schedule meetings and appointmentsProduce and distribute
correspondence memos, letters, faxes and formsAssist in the
preparation of regularly scheduled reportsDevelop and maintain a
filing systemOrder office suppliesBook travel arrangementsSubmit
and reconcile expense reportsProvide general support to
visitorsProvide information by answering questions and
requestsPrepare and monitor invoicesMaintain supplies inventory by
checking stock to determine inventory level; anticipating needed
supplies; placing and expediting orders for supplies; verifying
receipt of suppliesMaintain professional and technical
knowledgeContribute to team effort by accomplishing related results
as neededCarry out administrative duties such as filing, typing,
copying, binding, scanning etc.Organize travel arrangements for
senior managersWrite letters and emails on behalf of other office
staffBook conference calls, rooms, taxis, couriers, hotels
etc.Maintain computer and manual filing systemsHandle sensitive
information in a confidential mannerTake accurate minutes of
meetingsCoordinate office proceduresReply to email, telephone or
face to face enquiriesDevelop and update administrative systems to
make them more efficientResolve administrative problemsReceive,

DiplomaExperience: None requiredEquipment/Technology: Basic
computer knowledge.Language/Communication: Must have the ability to
effectively read, write, and speak English.Mathematical Skills:
Ability to add, subtract, multiply and divide in all units of
measure using whole numbers. Able to calculate correct doses by
applying necessary formulas as needed.Mental Capabilities: Ability
to problem solve and handle stressful situations.Interpersonal:
Ability to work well with others and support the management team in
both action and word to all staff and other MVH employees.As well
as: Proven admin or assistant experience Knowledge of office
management systems and procedures Excellent time management skills
and ability to multi-task and prioritize work Attention to detail
and problem solving skills Excellent written and verbal
communication skills Strong organizational and planning skills
Proficient in MS Office High school diploma or equivalent; college
degree preferred
