Catering Sales and Events Manager - Snow King Resort (Jackson) Job Description:DISCOVER SOMETHING WILD ABOUT YOURSELFLocated at the base of Snow King Mountain, just a few blocks from downtown and 20 minutes from the Jackson Hole Airport, Snow King Resort Hotel boasts breathtaking views of the Teton Mountain Range and offers its guests a wide variety of activities and amenities. As Jackson's largest venue, Snow King Resort Hotel offers over 20,000 square feet of combined indoor and outdoor function space. Featuring 203 guest rooms and 85 vacation rentals (classic or luxury condos).ESSENTIAL FUNCTIONS:Responds to all group inquiries which fall within the assigned room night production outline. Responds to all catering, banquet, event, and in-house function needs that fall within assigned markets Coordinates all aspects and details of the event with the event planner including menu planning, service details, group event needs, pricing and payment. Prepares sales, banquet & catering proposals, contracts, invoices, and banquet event orders. Communicates all event details effectively with each department to ensure group needs are met to include, but not limited to; Banquet Manager, Executive Chef, Audio-Visual Technicians, Equipment Rentals, Front Desk, Housekeeping, Engineering, Director of Sales, Sales Managers, Transportation, etc. Communicates effectively verbally and in writing with clients in timely manner. Make personal sales calls and visits to to assigned geographic market and industry segments. Participates in local community and chamber events, meetings and socials to develop relations and be an integral part of the community. Supports the Sales and Banquet teams with preparation, communication and submission of weekly reporting of all event orders, resumes, production and arrival reports. Works with the banquet team, and chef to provide seasonal offerings and special menus when appropriate. Builds and maintains menus and applicable pricing into the Delphi system and assigns categories appropriately. Becomes a Delphi MIC expert to support reporting needs, standards, profile and data maintenance and development Continue to develop strong working knowledge and utilization of industry and company systems, protocols, processes and resources. Utilizes effective cost control processes when suggesting products and services. Develops vendor relations and maintains a resource log of approved outside providers of event services Follows and communicates menu pricing guidelines, policies and procedures and seeks proper approval for any special rates, menus, or discounts. Administrates the accurate recording, reconciling and reporting of micros and Delphi reports in accordance to established procedures. Communicates any potential issues or concerns to appropriate Manager before, during or after group stay. Communicates to appropriate sales manager any potential for future bookings during or post stay Processes amenity and VIP requests. Ensures orderly and accurate catering files and that computerization of such files is maintained. Enters and maintains all menu development and pricing properly in Delphi and any other systems Reconciles and communicates all event function costs and expenses pre and post events for proper billing Perform other related duties as requested Director of Sales and Marketing. Recommend profit improvements to Director of Sales and Marketing. Practice safety standards and report any unsafe conditions to the Director of Sales and Marketing. Remain alert, courteous and helpful to guests at all times. Plans and ensures execution of group event to include but not limited to dates/timing of arrival and departure, room set-ups, diagrams, audio visual/production needs, rooming lists, special needs, special events, on/off-site entertainment, transportation Knowledgeable with the property's accommodations, meeting facilities and support services available at and through the property in order to best promote the effective utilization of the property Ensures group billing is accurate Attend and participate in weekly designated meetings Enhances group events and department profitability by using up-selling techniques Communicates frequently with group contact and attendees to ensure expectations are met or exceeded Takes a proactive approach toward client satisfaction. Responds to all client evaluations rated fair or poor. Communicates with Director of Sales & Marketing when issues arise to work together for resolve Follow grooming standards maintaining a professional image in dress and mannerisms Respond to all correspondence from assigned areas and trace dates for reworking and follow up. Assists sales, banquet and reservations teams with meet-and-greet, bag-pulls, event execution and overall group support as needed Rework and maintain old account files and solicit new accounts. Dedicate time to direct telephone and in person sales calls. Set-up and conduct site tours, inspections and follow through Attend trade shows pertinent to assigned areas and attend meetings, seminars and functions through membership in association. Perform general office duties and assist other personnel, as required. Maintain a constant contact with Corporate and Association meeting planners; maintain membership and contacts in hotel industry associations.Maintain a working relationship with departments and associations interacting with convention groups. Stay abreast of industry trends and make recommendations of changes, which would affect operations. Maintain accurate forecast and recap information
